Upstream is funded primarily through philanthropic individuals and foundations and does not accept funding from pharmaceutical companies. Upstream’s work has also garnered attention from a variety of leading publications including The New York Times , Washington Post, The Atlantic, CNN, Vox, Forbes, and Marie Claire.

Position Summary

In this inaugural role, our Compensation and Benefits Specialist will be joining the Upstream People Team and will be responsible for the administration of Upstream USA’s payroll, time & attendance and benefits systems. They will play a key role in overseeing, managing and administering our employees' rewards, perks and benefits.

This position directly reports into the CHRO and will work closely with our finance and accounting team. The Compensation and Benefits Specialist will have an opportunity to optimize the current HRIS platform, administer our compensation/equity framework and be part of the administration for efficiencies in our benefits plans.

They will take a lead role in providing training to our people managers, benefits onboarding, as well as special project management support to the people and finance teams.

Minimum Qualifications:

Duties and Responsibilities to include:

  • Lead and execute full cycle bi-weekly payroll functions for the organization; which includes timesheet management, payroll processing, reporting and system maintenance.

  • Ensure confidential data integrity and resolve employee issues related to earnings, taxes, and deductions.

  • In collaboration with the Chief Human Resources Officer, Director of Finance and Accounting and Manager of People Operations; evaluate, administer and review the full array of employee benefit programs as they relate to payroll; inclusive of health, life, disability, 401K, flexible spending and compensation plans to ensure programs are current and in compliance with legal requirements

  • Process benefit elections weekly for new hires to capture changes and new enrollments

  • Review benefit invoices for payment approval each month

  • Provide technical expertise and proactive guidance to monitor and maintain competitive positioning, and to advance and scale the organization's benefits programs to keep pace with rapid growth.

  • Conduct periodic audits, prepare and present reports

  • Is the primary point of contact and partners in executing the annual benefits open enrollment process, annual review and bidding process for plans, and benefits planning.

  • Manage year-end calendar process including: verifying process schedule with payroll vendor, verifying master file information with employees, calculating and processing bonus payrolls, and verifying and distributing W-2's.

  • Handling year-end benefit plan rollovers; ACA year-end maintenance, holiday schedules for payroll, verifying PTO accruals. Capturing year-end 3rd party earnings (STD or LTD) for employees on leave

  • Fulfill all governmental regulatory mandates and ensure filings are performed as required; including ERISA.

  • Provide compensation and benefits consultation to Upstream’s People team and management.

  • Monitor and implement changes to ensure compliance with state and federal regulations.

  • Stay up to date on policies and regulations that impact payroll and benefit administration, and makes suggestions to the Chief Human Resources Officer

  • Conduct benefits presentations for newly eligible employees. Participate in new employee orientation.

  • Working knowledge of applicable payroll, benefit and FMLA laws and regulations to ensure ongoing compliance.

  • In depth knowledge of federal and state employment law as it relates to payroll required.

  • Assist in the preparation of schedules and supporting documentation for the annual 401(k) plan audit.

  • Support Paycom/HRIS database maintenance.

  • Required Education, Experience, Knowledge, Skills and Ability

  • Solid knowledge of employee benefits and payroll systems

  • 3 - 5 + years of full cycle payroll experience (Experience with Paycom is a plus)

  • Excellent written and verbal communication skills

  • Capable of working with minimal direct supervision and exercise initiative.

  • Problem solving capabilities

  • Ability to multi-task and coordinate several tasks at one time

  • Proficiency in Google Suite (i.e. advanced proficiency in GoogleSheets/Excel) and Microsoft Suite, including PowerPoint and Word

  • Strong interpersonal skills and the ability to collaborate effectively. Provides a customer-service oriented approach and develops positive, productive relationships with colleagues

  • Must be able to perform job duties exercising excellent judgment and professionalism

  • Demonstrated ability to quickly learn and apply software applications and systems
